Healtime Terms of Service

    These Terms of Service ("Terms") govern your use of Healtime, including its platform, booking system, wellness management features, AI chatbot, and any related services provided by The Web Xperts ("we," "our," or "us"). By purchasing, subscribing, or using the service, you agree to these Terms.

    1. Services Provided

    Healtime is a Done-For-You wellness booking & management system. Services may include:

    • Online booking & scheduling
    • Customer management & visit history
    • Automated reminders (Email & WhatsApp)
    • AI Front-Desk Chatbot (non-medical)
    • Analytics & reporting
    • White-label setup & deployment
    • Optional add-ons (Wellness Programs, Google Calendar sync)

    Third-party integrations (Vercel, Resend, Twilio, Google Calendar) are configured during setup but billed separately by the client.

    2. Account Responsibilities

    • You are responsible for maintaining the confidentiality of your login credentials.
    • You are responsible for all activities performed under your account.
    • You must provide accurate and complete information during setup and onboarding.

    3. Payment Terms

    • One-Time Setup Package: Payment in full is required before deployment.
    • Monthly Plan: Recurring monthly billing applies; minimum 12-month commitment recommended.
    • Custom Package: Payment terms are defined in the custom quote.

    Third-party services (Vercel, Resend, Twilio, Google) are billed directly to the client. Healtime only configures the integration.

    4. Refunds & Cancellations

    • One-Time setup fees are non-refundable once deployment begins.
    • Monthly subscriptions can be canceled at the end of the billing period; no partial month refunds.
    • Custom packages are subject to terms defined in the project quote/agreement.

    5. Client Data & Content

    • You retain ownership of all customer data, appointments, and content entered into Healtime.
    • We process data to provide the service and maintain backups.
    • You are responsible for compliance with local privacy laws, including HIPAA, GDPR, or other regional regulations if applicable.

    6. Third-Party Services

    • Healtime integrates with third-party services for hosting, messaging, email, and calendar sync.
    • Clients must maintain their own accounts and subscriptions.
    • We are not liable for downtime, service limitations, or charges imposed by third-party providers.

    7. AI Chatbot Use

    • The AI chatbot provides non-medical guidance, suggestions, and service discovery.
    • It is not a diagnostic tool and should not replace clinical decision-making.
    • You are responsible for communicating clearly to your clients that the chatbot is a support tool only.

    8. Prohibited Use

    You may not use Healtime to:

    • Violate any law or regulation
    • Provide medical diagnosis via AI chatbot
    • Transmit malicious software or spam
    • Attempt unauthorized access to our system

    9. Limitation of Liability

    • Healtime is provided "as-is".
    • We are not liable for lost revenue, data, or indirect damages arising from use of the system.
    • Your use of third-party services is at your own risk.

    10. Indemnification

    You agree to indemnify and hold harmless Healtime, The Web Xperts, and affiliates from claims, damages, or expenses arising from your misuse of the service.

    11. Termination

    • We may suspend or terminate your access if you breach these Terms.
    • You may terminate your subscription by contacting support; paid fees are non-refundable except as described above.

    12. Changes to Terms

    • We may update these Terms periodically.
    • Continued use of Healtime constitutes acceptance of updated Terms.
